Customer Service Representative - bilingual

Summary:

To oversee the efficient operation of the Customer Service Department serving as a liaison between customers and internal departments regarding order status, from the time the order is received until the customer receives it. Establish and maintain positive working relationships with internal and external customers by ensuring the best possible customer satisfaction.

*This position will require at least 2 weeks of training at our office in Mukwonago, Wisconsin. *

*Candidates must be bilingual in English and Spanish to be considered for position. *

Essential CSR Duties:

  • Receive and process orders via fax, e-mail, hard copy or phone.
  • Handle incoming calls and requests (verbal and written) communicated in Spanish as needed.
  • Check order status and communicate with customers and sales staff.
  • Check status of “orders due to ship” numerous times throughout the day.
  • Communicate any order changes to internal departments.
  • Email confirmations, price quotes, SDS and any paperwork that customer may not have received with their delivered order.
  • Email required International shipping and billing paperwork to customer.
  • Receive customer complaint or issue and direct to appropriate department.
  • Track and analyze on time shipments (When applicable).
  • Provide Sales Reps with customer related sales reports.
  • Update Shipping Clerks with special ship instructions.
  • Update pricing in MAS as advised by accounting team.
  • Other Customer Service duties as needed.
  • Work extended hours/weekends when assigned.
  • Other miscellaneous duties as assigned.

Qualifications:

  • High school diploma or equivalent
  • Demonstrated verbal and written fluency in English and Spanish required.
  • Customer service skills/experience 3-5 Years.
  • Competent computer skills to include: Excel, Word, Outlook, Internet, Adobe Acrobat and the ability to learn the Badger Color MAS data base program.
  • Ability to use copy machine, fax machine, and scanner.
  • Strong interpersonal, verbal and written communication skills are required.
  • Excellent telephone technique and professional demeanor.
  • Outstanding problem solving, negotiation, and mediation skills with regard to conflict resolution.
  • Attention to detail, accuracy and organization in all aspects of the job.
